User Groups and Training Intensives
As part of our 2010 training and support initiatives, IT Works is offering a series of user group training sessions followed by on site client training intensives. The user groups are designed for clients desiring an update on new features, a quick training refresher or a chance to see how other users at their institution are utilizing our software. Training intensives allow individual clients to train new employees and take the utilization of our software to a new level.
User Groups
User groups are typically held in a city or at a university that hosts multiple IT Works installations. A “hosting” department or client provides a conference room or classroom space with a projection system for a 2 – 3 hour morning user group training session. The session allows for both teaching by IT Works staff as well as idea exchange between users from different installations. User group topics include:
- An overview of new features that have been added to our software modules over the past two years (such as document management functionality, publication tracking, new report formats, and data entry features)
- A review of the salary and benefit projection system
- An overview of advanced reporting options, including reports that combine data from multiple modules
- Designing internal coding systems
- The use of electronic data feeds
- Setting up module security systems
- Use of web-based reports for faculty and principal investigators
- Question and answer sessions
On Site Training Intensives
On site training intensives are designed for users within one IT Works installation and are offered in four hour time increments following a user group session. They are intended to help clients take advantage of additional functionality within our software; to aid with special implementation requirements; and to offer training to new employees. These sessions use client data and the exact format is designed around the specific needs of individual clients.
Benefits
The combination of user groups and training intensives for individual clients offers both savings in terms of cost and time for individual clients. Typically, IT Works requires a two day time commitment for most on site training sessions in order to justify the cost of sending IT Works staff to a client’s site. By combining training for multiple neighboring clients, the time commitment (and associated cost) for individual clients can be reduced and travel costs can be shared. With this model, all participating clients share a part of the travel costs, and those scheduling training intensives pay for 4, 8, or 12 blocks of training time. In addition, training intensives provide users with dedicated time, in their office with IT Works training and implementation staff using their data and training agenda.

Cost
The exact cost of user groups and training intensives varies by location. With respect to the user groups, our only pricing goal is to cover our travel costs. Clients requesting Training Intensives should expect to pay an additional travel charge to cover hotel costs as well as $1,000 per 4 hours of on site training.
