Research Management Software
IT Works provides research management software solutions for higher education and research institutions. Our research management software has been designed to meet the unique needs within higher education and research institutes, including the specific needs of individual departments, centers, schools, colleges, and universities. We understand that research administrators operate in a complex and demanding financial environment. For example: research budget periods do not align with the fiscal year; regulatory compliance is scrutinized by external auditors; and competition for research funding is constantly increasing are among an ever growing list of issues faced by grant and research administrators. To make matters worse, these administrators are often forced to use general ledger accounting systems as a research management software tool. Frustration arises because the general ledger is difficult to use and it was originally designed for other business needs and environments, not as a research management software solution.
The IT Works research management software solution integrates with your existing general ledger accounting system and was specifically designed for sophisticated research administrators, financial managers, grant accountants, and principal investigators. Our design provides both pre-award and post-award functionality and is scalable, modular, powerful, affordable, and easy to use.
IT Works provides pre-award research management software solutions for the macro-level management of pending grants and research projects. Our research management software can be used for both internally and externally sponsored research. For externally funded research projects, it tracks information such as: proposal type (new, continuation, competitive renewal, no cost extension, etc), award type (Research, Career Development Awards, Research Training and Fellowships, Program Project / Center Grants, etc.), funding agency, and agency number. In addition it tracks various dates such as submission dates, funding agency deadlines, notice of award date, budget period, and project period. Our research management software also tracks financial information such as: total direct cost, total F&A (indirect cost), and cost sharing amounts. Additional information regarding principal investigators, co-investigators, investigator effort, research space, and publications generated is also managed.
Our research management software includes compliance monitoring (IRB, IACUC, Safety Boards, Export Control, and more), proposal development, and time and effort reporting software. Tools for proposal development include software for generating current and pending support (or other support) pages. Compliance tracking reports are available for both internally and externally sponsored research. Our research management software also produces PDF reports that can be included in an NCI Cancer Center P30 application.
IT Works provides post-award research management software solutions for grant tracking and day to day project management. Our research management software incorporates a modular design comprised of grant tracking, accounting, personnel, space and recharge center management software modules. The grant tracking software module includes the same features as our pre-award research management software such as compliance monitoring, time and effort reporting, but applied to active grants and research projects. In addition, our post-award research management software stores pre-award documents (such as routing reports, budget preparation sheets, etc) and reports submitted to funding agencies (such as financial reports, progress reports, etc). It also maintains schedules for tracking report due dates and compliance expiration dates. Reporting functions include features that track when financial and project reports are due; when projects are ending, and when reports need to be delivered to funding agencies. Reports generated by our research management software include notice of award reports, annual reports, grant table reports, list reports, and grant versus space utilization reports.
Our research management software solution also provides for day to day project management. Our accounting module includes research accounting components that also include accounting functions for the management of: clinical income, endowments, gift funds, trust funds, state funds, and others. Our research management software is designed to supplement your general ledger or ERP system. It can be installed with an electronic interface to produce an integrated component or as an independently operated shadow system. In either case, the result is a powerful research management software tool designed for department, center, research, and grant administrators as well as principal investigators.
IT Works provides post-award research management software solutions for managing personnel and research teams. At IT Works, we recognize that successful research is conducted in teams. And, it's the responsibility of the research administrator to help manage these teams. Our research management software has been specifically designed for this purpose. Our personnel module is an integral part of our research management software solution. It is designed for department, grant, research, and healthcare administrators and manages human resources information such as employee salaries and their funding sources (such as: department funds, individual grants, clinical income, state funds, contracts, gifts, endowments, other hard money, etc.). This salary distribution information is used to generate reports that identify when employee salary sources are ending; equity reports; time and effort reports; and various salary distribution reports.
Our research management software modules provide a fully integrated solution. Our personnel module also interacts with our accounting module to help project and encumber salary and fringe benefit costs. The resulting encumbrances are incorporated in reports generated by our accounting module. These reports are easy to read research accounting reports that display the names, titles, effort, and salaries for employees paid on individual research projects as well as other funding sources. Our research management software generates a wide range of summary and specialized report formats. These reports can be used to manage individual or groups of grants and can be used to track the past, analyze the present, and forecast the future. The end result is a powerful, scalable, and easy to use post award research management software tool that makes it easier to keep your research teams on payroll.
IT Works provides a comprehensive research management software solution. Our research management software includes modules for managing assets (capital equipment), space and recharge centers (internal research facilities that invoice for materials or services). The asset management module tracks equipment specifications, ownership, location, and other purchasing information. The space management module tracks building and room ownership and usage information. Usage information is tracked from both an architect's point of view and a manager's point of view. From an architects view point, it defines space by room types such as labs, offices, conference rooms, etc. From a management point of view, it identifies space according to management categories such as research, administration, teaching, etc. Our research management software links space and grant funding data to generate reports that compare ratios of grant dollars per square foot of research space for individual investigators or faculty.
Our research management software includes a facility services or recharge center management module designed for managing multiple recharge centers. Examples of recharge centers include Flow cytometry, NMR Scanners, DNA Sequencing, Microscopes, Tissue Procurement, Animal Histopathology, and more. Research management software functions include billing and invoice generation, invoice aging reports, center usage reports, and more. The recharge center module integrates with our accounting module as part of its research accounting functionality.
